Todoist is a task manager for recording work, assigning dates, and arranging related tasks into projects. A task can carry a due date, deadline, priority, label, reminder, description, comments, and subtasks. Shared projects add assignees and discussion. Todoist keeps the same account lists across its apps, but it does not complete work or decide which commitments should take priority.
Tasks and projects
The Inbox catches tasks that have not yet been assigned to a project. Projects hold related work, and sections divide a project without creating another account or workspace. Labels cut across projects, so one label can collect calls or errands from several areas.
A subtask remains attached to its parent, but completing the parent can hide unfinished detail from the normal view. Large plans become easier to scan when tasks describe concrete actions and sections describe phases or areas. Copying every note into a separate task can create noise that makes the actual next action harder to find.
Recurring wording changes dates
Todoist reads recurring date phrases when a task is created or edited. A schedule tied to fixed calendar dates behaves differently from an interval measured after completion. A task due on a set weekday advances to the next scheduled weekday; a completion-based interval starts its next period when the current occurrence is finished.
This distinction matters when a late task is completed. The wrong phrase can make the next occurrence arrive too soon or remain anchored to a missed calendar date. Checking the interpreted date shown by Todoist is safer than assuming the typed sentence means what the user intended.
Filters use syntax
Filters create custom views from project, label, date, priority, assignee, creator, and task-state conditions. The syntax has operators for AND, OR, NOT, grouping, and separate result lists. Parentheses decide which conditions combine first, so a small punctuation change can return a much broader set.
Today and Upcoming are built-in views, not editable filters. A query that is not in the supported filter language will not gain meaning merely because it reads naturally. Names containing spaces or special characters may need escaping. Testing a filter against a few known tasks catches mistakes before it becomes the basis for a daily review.
Reminders are separate
A due date places a task on a schedule. A reminder creates a notification. Depending on the account and device, reminders can use a chosen time, a recurring rule, or a location. Shared-project reminders may also target a collaborator.
A custom date-and-time reminder added to one occurrence of a recurring task does not automatically repeat with every later occurrence. The task can continue recurring while that reminder fires only once. Anyone relying on the alert for medication, a payment, or another critical event should inspect the next occurrence after completing the current one.
Sharing changes ownership
In a shared project, an assignee identifies who is responsible for a task. Comments keep discussion with the item, and notifications report changes according to each member’s settings. An unassigned task is visible to the project but belongs to nobody’s personal workload until someone accepts or receives it.
Removing a person, moving a task to a private project, or deleting the project changes who can reach the information. Todoist is useful for coordination, but project membership still needs review when contractors leave or sensitive work changes teams. Export or backup choices also matter because completed tasks and comments can be part of the project record rather than disposable notifications.
